Digital Khata & Udhaar: A Smarter Way to Manage Customer Credit
Move your udhaar from a paper khata to a digital ledger. See who owes you, how overdue they are, and how to recover customer credit faster.
In Pakistan, udhaar (customer credit) is part of doing business. But the traditional paper khata quietly costs shop owners money every month — through forgotten balances, disputes, and credit that’s never recovered. Going digital fixes most of that.
The problem with a paper khata
- Entries get lost, smudged or written in the wrong account.
- You can’t quickly answer “how much does this customer owe me — and since when?”
- There’s no reminder system, so overdue balances just… sit.
- When staff change, the knowledge in that register walks out the door.
What a digital khata does better
A digital ledger records every credit sale and payment automatically, tied to the right customer. At a glance you get:
- Each customer’s outstanding balance, always up to date
- A full statement of invoices and payments you can share on WhatsApp
- One payment auto-applied across open invoices (oldest first)
- A secure, backed-up record that survives staff changes and lost registers
Use the same khata on PC and mobile
A digital khata should not trap the record on one cashier’s phone. The shop counter may use a PC or tablet while the owner checks customer balances from a phone. Both should work with the same customer account rather than creating separate copies that later need to be reconciled.
Before moving from paper, prepare:
- A clean customer list with phone numbers where available.
- One agreed opening balance for each customer.
- A date from which every new credit sale and payment will be recorded digitally.
- A rule that staff must select the correct customer before completing a credit sale.
- A simple process for correcting an entry without erasing the history.
Aging: know who owes you and for how long
The single most useful view is an aging report — your total receivables split into buckets: current (0–30 days) vs 31–60, 61–90 and 90+ days overdue. This tells you exactly who to follow up with first, so money doesn’t quietly age into a write-off.
Five tips to recover udhaar faster
- Set a limit. Agree a credit ceiling per customer and stick to it.
- Record at the counter. Every credit sale goes in immediately — not “later”.
- Send statements. A friendly WhatsApp statement is often all it takes.
- Chase the oldest first. Use your aging report to prioritise 60+ day balances.
- Make paying easy. Accept Easypaisa, JazzCash, card or bank transfer against the balance.
What a customer statement should explain
The customer should be able to follow the opening balance, each credit invoice, every payment and the remaining amount. Send the statement before a balance becomes disputed, not only after it is badly overdue.
When a part-payment is received, applying it to the oldest outstanding invoices first gives both sides a consistent view of which bills remain open.
